The Power of saying NO

Do you have problems in saying an assertive ‘No’

Do you have difficulty in saying ‘NO’? Do you find that you are often taking on more than you can actually handle?  And now you are stuck with your commitments plus the additional work of someone else that you unwittingly took on and told them that, ‘OK I’ll do it for you’ . And you are struggling with these, what I call as excuses:  How can I say no? What if he feels bad. I cannot hurt my boss. He is my superior. My children really need me. I have done it so long for my spouse, now it feels like a habit. Are all these thoughts floating in your head right now , as you are struggling to handle the additional work? Then this blog is for you.

What happens when we say ‘Yes’, but in our heads it would rather be a ‘No’:

Many a times we know that we cannot take on other’s work or we do not want to take on other’s work. It could be due to lack of time or adding to the already existing stress you have in hand or the inability to handle someone’s mess.

Besides it also makes us look weak and insignificant and we are unwittingly giving the power to the others. We know this at the back of our minds. Yet we take on as we do not know how to say an assertive ‘NO’.  It is like self- sabotage.  It makes us resentful and more stressed.

So why do you repeat this pattern?

 Is it fear?  Do we want to avoid confrontation?  Or do we want to buy temporary peace? Does it help you in the long run? Or did it pull down your confidence level instead?  These are valid points to consider.  Take this example… your colleague wants you to finish his work as he has ‘something else’ important that came up. And of course you oblige. Now you notice that his ‘something important’ is coming up more often, but you still cannot say no. Soon it has become a habit which you cannot now get out of . You may think what if he feels bad , or you think it is OK as it’s just 10 more minutes of my time and let me do it one last time and then another and another and it goes on.

Reasons for saying ‘Yes’:

Saying yes when you mean no to buy peace for now .It is like sweeping the dirt under the carpet. It will surely come one day to bit you, and in a big way. Saying yes to request when you actually do not want to is also a cultural thing.  Saying no can be considered as rude in many cultures. Or sometimes we perceive saying NO as a weakness . Sometimes the person who is asking, is a good friend, and you don’t want to let them down . And some people are just pleasers by nature and like to say yes all the time, even if they cannot handle it. And these small small things add up and it can become a pattern in your life…an inability to say no to people in general. And it comes with the cost. You might start complaining and whining, and believe me, at that time, nobody wants to listen to you and then you start becoming resentful. Guess who’s to blame now .

What went wrong here:

Were you not trying to be kind and accommodating? Think again. When you start accommodating at your cost, it is at the cost of your time, at the cost of your efficiency.  You are not helping the other person nor are you helping yourself.  In fact you’re getting into this Circle of complaining, of self- pity, of being resentful and Eventually it takes a toll on your confidence level, on your ability to be productive.

So, what can you do about it:

How can you tell your friend, your colleague ‘no’ when he requests something and you really don’t want to do it or don’t have the time for it and yet you don’t want to sound rude and definitely don’t him or her to feel bad about it? So here is one thing you can think about the next time somebody comes and ask you for a favor and you really want to tell them no.  Instead of just saying no in their face, try changing the language perhaps. You can be polite and say, ‘Can I get back to you’ or ‘I really wish I could help you, but you know what, I really have this bit of work that needs my attention, so sorry’. And you can gracefully navigate your way out. That is one way, where you are not at-least being rude.

What is it is your superior palming off his work?

There may be times where it is your superior who is requesting you. Another way to handle it is to do it this time but choose a better time when the person is more relaxed and just explain your pressure to them. Maybe they will understand. Eventually people will get it that you are no more a soft target. I think speaking up for yourself earns more respect than just doing favors and extra work for others which can appear as a sign of weakness.

Standing up for yourself gives you more power:

When it comes to family, sometimes you just have to say yes whether you like it or not and its ok.  But at some point, you have to learn to draw your boundaries. What does draw your boundary mean. It means you define in your head that this is the extent to which you can stretch yourself and help people and this is the point where you do not want to, and you say a ‘NO’ in an assertive and nice way.  You will do this because it’s going to help you feel more confident, stronger and you do not want to overwork and stress yourself that finally you have no energy left for yourself nor for others in this bargain.

Wellness Factor in Health:

When we talk of being healthy, it is not just being physical fit and able, it is also about being mentally fit and able to handle the stress and pressures of life. Many of us go through the daily stress of life , hoping to get the best out of life. I have notices for many of us, the prime focus is our profession which then translates to money needed to maintain and manage our standard of living needs and to take care of our family. It can also be the passion and enthusiasm at work that is our driving force. Either ways we cannot escape the stress and pressure around it. Does it affect your physical health? Are you suffering from life style diseases ranging from food intolerances, digestion issues, frequent headaches, even random aches and pains, obesity, PCOD, diabetes and cardiovascular diseases. Are you feeling burnt and constantly feel tired with no energy to handle the stress of life, instead of feeling confident, successful and happy. This you are in the right place…read on…

Physical Fitness:

Having a fit and active body helps by supporting us pursue our goals and follow what is important to us. While we tend to get busy and buried in these goals, which mostly consist of a sedentary and indulgent lifestyle, making time for physical activity is important. Many International organizations recommend about 150 min/ week of moderate cardio exercises for an adult to remain fit. Now we can translate this into 3 one hour cardio activity per week like walking, cycling, swimming or the likes. It can also add up as 5 half hour walks per week, which is achievable. Now you can even split the half hour walk into 3 ten min brisk walk in the day. I am mentioning these recommendations, to help one realize how doable and easily to include these activities are. A walk up and down the house, or the office area, or a park. Leaves hardly any excuse option open.  I set up alarms in my phone to remind me for my 5pm daily walk. I know of some people who keep their gym clothes near their bedside, to make the morning walk more possible.

Mental Fitness:

I have noticed people pay little attention to mental fitness. They think it is natural to feel tired, drained, fatigued and frustrated. They think what choice do they have, as the stress of life is not going to go away.  Having a strong body goes a long way to strengthen our mind, to be able to deal with the stress of life. You will notice that if you feel tired easily, are working long hours, you are more prone to falling sick or catching colds easily.  On the other hand, if you work out regularly and have an active lifestyle, you are less likely to fall sick that often. Similarly being mentally fit to handle all the stress of life, makes you a happy and more confident. And this mental confidence supports your physical wellness, makes is less likely for you to fall sick as often, and not fall prey to lifestyle diseases.

Brain Gym:

I have some across many recommended brain gym and am sharing some of them. They are easy to try fun activities.  Brush your teeth with your non dominant hand for a few days. Cooking and playing the piano are other great brain gym activities, stimulating different sides of your brains. Spending time in relaxed and fun activity, opens up the creative problem solving side of the brain that shuts down under stress. Make time to having more fun, laughing more and taking the break from work once in a while, even if it for an hour or less.

Seeking Help:

Sometimes, when you just feel sad, feel like crying for no apparent reason, feel a sense of hopelessness and lack interest in life, you sleep for really long hours, often feel fatigue, loss of appetite or anything that does not feel normal, these are few signs of mental ill-health. The best option is to seek help. Consult with your doctor or reach out for professional help with a phycologist or a psychiatrist. Seeking help is a sign of strength.

In Conclusion:

Happy body = Happy mind and Happy mind = Happy body. And having a physically and mentally fit body and mind allows us to use our own internal strength in pursuing our goals, our plans, allowing us to write our success stories despite the stress and tough life and surroundings.

How to Ace your Professional Life.

New Year Goals

New Year Goals are Ready. Now What!

January is usually a time when everyone gets enthusiastic discussing and planning New Year’s goals. Once we have invested our time in building goals and action plans, we need sustain it. Not just for 1 month or 2 months, but for the entire year. Most of the time we know what needs to be done. We have beat the colleague to that promotion, we must eat healthy. We must reduce online social garbage. We must stick to healthy work time. We must drop a few kilos. We even know how because we have a full-fledged plan ready. But the question is to take that first step.

4 Quadrant: Time Management Matrix

If we were to write our ‘to do’ list for the month, we could easily fit it into this famous four, a well-known and well researched Time Management matrix. Quadrant 1 : Urgent and Important,

Quadrant 2 : Not Urgent but Important,

Quadrant 3 : Not Important but Urgent and

Quadrant 4: Not important, not Urgent.

Quadrant 1: Urgent, Important: Do it Now

These are jobs that need your immediate attention. All the items in our ‘to do’ list that has to get done now comes in this box and the faster you plan a date to get it done the better. An ASAP or the first weekend can be devoted to these sometimes unpleasant sometimes boring jobs. Once it gets done and dusted, you will feel that relaxed sigh of relief. Your mind is cleared much like that of a computer when it is freed of wasteful memory and trash.

Some Examples: Clearing that huge laundry pile, taking your sick child to the doctor, the collection of documents that need filing, the pending project long overdue, preparing for tomorrow’s review meeting, responding to boss’s email.

Benefits: These tasks linger more on crisis management and emergencies and causes a feel of overwhelm, stress and burn-outs. Prioritizing these helps relax and feel more confident.

Quadrant 2: Not Urgent, Important: Schedule.

These constitute of work that does not have a specific deadline, but if you do not peg it down, can just pile up. Now take out your planner and spend every once a week, say every Saturday to plan and organize your week. Prioritize and time slot activities, meetings, and chores for that month, taking into consideration those that reoccurs in a daily/weekly or monthly manner. And prioritize the important ones first. When organized you will feel more on top of things, even if the week throws some surprises, you can handle it.

Some Examples: Attending an optional zoom sales seminar, remitting money to start a weekly gym routine, booking a dinner date, finding time for the IT class.

Benefits: This planning allows you to be more in control, be more organized, more efficient, get better and quality work life balance and helps with your perspective vision.

Quadrant 3: Not Important, Urgent: Delegate/Delay

These are time eater. They are tasks that do not majorly contribute to your work yet needs to get done. Delegating some work to your team adds trust and value from your team members, especially that which offer them flexibility in decision making. It empowers them with confidence to work more efficiently. Same with your children for that matter when your delegate some home tasks. While some other work just needs to get done.

Examples: You child calls you during work hours to clear a difficult doubt in her homework, your boss decides to have a casual team meet with no particular agenda, or your colleague needs IT help and knows you are good with it, your electric bill is pending and today is the last day.

Benefits: Helps you learn to say ‘NO’ sometimes, to delegate and understand what it is to let go sometimes.  While they are ok for short term focus, not handling them can easily lead to overwhelm and not being in control.

Quadrant 4: Not Important, Not Urgent: Declutter/Delete

They are what I call then ‘nani-nani’ activity. It keeps you engaged but not gainfully, especially if you are focused and an achiever. But it does give one the joy of procrastinating. While these are great activities to chill and relax our minds, planning them for later or defining that chill time helps. So, either keep the task for a leisure date or eliminate it from the list.

Examples: Working on the unfinished jigsaw puzzle, that addictive soap opera on Netflix, silly WhatsApp and Facebook forwards, clearing unwanted pics and re-organizing them in your computer.

Benefits: Dwelling in this quad, hovers around procrastination where you know you have a bunch of things to do but are giving it a blind eye. It does give a temporary happy feeling, relaxing a stressed mind. It is in fact a great ‘stress-buster’. But the problem is when we let it linger longer where it eats into our productive time.

Can One really step back and not miss the bus?

Does Slowing-down actually helps?

Now one may ask if you have so much to do, your work, your focus, your family, your life, how can you take a step back, a pause to examine and audit your time, your work-life balance. This almost sounds like a foolish advice. Afterall you have always learnt that if you snooze you lose. You really have no time for slowing down, and what if you decide to take the step back and miss the bus?

Benefits of regular life appraisals:

While all of these thoughts are relevant, on the other hand, often giving a pause once in a while to examine your life, to look at what went well, what worked, and what did not work and what is your learning from it, is what can make you smarter, sharper and more focused in life.  I am sure you are used to the annual, half-yearly or quarterly  appraisals at work, and more so because it is mandatory and mostly tied to a reward. Use the same principle to review your life, monthly perhaps. This reward system is based on science and has been proved to work times over.

Our Fear System:

While the reward system often works, we also have an inbuilt fear system holding us back. What if we fail, what if we lose our job, what if I cannot pay my house EMI.. and this what if list gets longer and longer. All it does is overwhelm us and stress us up. Many times it is ok to make mistakes and even beneficial if one looks back. It offers the best learning path, however hard it may seem at that point. Besides, only if you are willing to take risks and make mistakes will you grow.

Audit Points

Coming back to auditing your life, I use a sort of 360 degree audit tool, which includes my personal life and what I am doing about my physical, mental health and wellness like my healthy eating habits, the water I drink, my stress level, time for relaxation and hobbies, my family and children time, my professional goals and ambitions.  Slowing down once in a while and taking some time to audit our life, makes us more aware. It give us space to focus on our time management and prioritizing skills.  And  it helps us reduce stress and manage better work-life balance. The result, it adds confidence back into our life, and the belief that ‘I can do it’ which is a great booster to ace the professional and personal life.

From Overwhelm to Balance:

I try and distribute my time in all these spheres and not stretch myself, as it is not worth the stress and mental and physical fatigue, since it is always one at the cost of the other. I use a planner, slotting my ‘to-do’ list in order of priority. Some are important and cannot be avoided like dropping kids to school, ordering provision for the house. Some are urgent like the office budget that needs to get done by end of the week. Some can wait and depends if I have the time and energy, like the needlework I wanted to do at some point. This planning removes the feel of overwhelm as each day begins. I feel if one learns to choose and stay focused and disciplined, prioritizing our well-being, it makes us more confident as a person, where happiness, wealth and success will follow.

What does a balanced like look like?

When we are able to learn the art of balancing our professional and personal like, we becomes ofcourse less stressed, but also more happy. We are able to enjoy life, and enjoy the fruits of our hard work, with better health.  Stress leads to life style diseases like diabetes, obesity and some cardio issues, to state a few. Just by being able to get a good work-life balance, we can reverse such life style diseases and be more creative, more productive and be able to achieve all our goals that we set to and want to achieve in the first place.

How COVID got me back in track.

Positive Effects of COVID.

How COVID got me Back on Track

·     BEING SUPER STRESSED 24/7

I was chatting with my friend a few days back. Now this is the friend who was super busy, super stressed trying to balance her work, her home and her life till last year. Then COVID happened. Like most of us her life just came to a stop. She was not sure of her job. To add to her stress, her teenaged son, like most teenagers, was intelligent with not enough focus to match and had her worried to bits. Her ailing parents moved in as they needed special care during COVID and ofcourse being a single parent with no house help did not help her cause. She felt stuck and insecure and like a victim where everything bad just happens to her. With this mindset, even though she was carrying on, she was finding it difficulty to cope with this stress in life.

·     HOW TO PLAN YOUR DAY

So when I was chatting with her recently, this is how she said she learnt to cope with life. And I want to share it with you all her inspiring transformation journey. One day, she said enough is enough. Playing victim was costing her happiness, her quality of work and life was suffering. And this is what she did.  It was like I was seeing a new version 2.0 of my friend. Now this is how her new schedule panned out. Get up at 5am. Yes, getting organized and taking the trouble to get up earlier is well worth your time she said. Get up at 5am and sit in bed, stretch, smile and then start with a half hour of meditation. Meditation happens even if you sit on your bed, close your eyes, breath in through slowly your nose and breath out through your mouth even more slowly, and watch the traffic of thoughts in your mind. Just watch like in a movie. Don’t wish them away, don’t stay with your thought. Let them come and go. That can be a great way to meditate and start your day with a smile.

·      WHY OUTSOURCE

Then she gets some mandatory house work like cooking, laundry out of the way by outsourcings help. Initially she wanted to be seen as strong and capable and wanted to do all the work herself. The 2.0 version of her decided to invest in outsourcing for these ‘mundane have to get done’ stuff . She gets up early and plans her day, both house work and office work, all in one go. Worth getting up a bit early when u can be organized for the day. It becomes less of a stress.  Planning  helps, she says. Now she also prioritizes. The provision is planned and ordered monthly, the fruits and veges ordered weekly, thanks to the online ordering that she learnt to be adept at. Her office appointments and meetings are also planned weekly. Less stress and more work gets done. And she finds this helps her mental health and is able to devote time to her physical health as well.

·     MAKING ME TIME…

Being a doctor she opted for her clinic time of 10am to 4 pm. This gave her time to get herself groomed. Being well groomed does add to your internal confidence.  She also leaves reminders for her son, which they together co-plan. And he is only too happy to suddenly be treated as a responsible adult. The same son who used to play truant to do his homework and studies, now felt more confident when his mom started treating him with respect, as he put it.

·      HOW TO EFFECTIVELY SAY ‘NO’

She adopted a ‘no work after 5 pm policy’. Back home she spent some relaxed and social time, watching movies, reading and chatting with friends. The last one hour before she retires was left to spending time with her parents, sorting out their medicines, allowing them to vent their frustrations, aches and pains. She learnt the value of saying  an assertive ‘No’. That was one big learning in the step of achieving a holistic health and achieving her goals and being able to ace her professional and personal life.

·     COVID = OPPORTUNITY

To sum it up, she said COVID offered her such a grounding and humbling experience. She realized how important family and friends are and how to prioritize your time, and most important, how to say ‘NO’ to something that interferes with your schedule and peace of mind.

Dream and it shall be Yours

Dreams.

Begin with a Dream:

This is a story from a few years ago, when one day over coffee, I announced to my friends that I am going to be a speaker. They looked at me in amazement and then laughed, thinking I was joking. Because I was shy, quiet and rarely spoke up even in a small gathering of friends. But public speaking was one of the fear I wanted to transcend. It was not just a random announcement. It was something I wanted to achieve for a long time and it just remained there languishing in the background. Had I not announced my thought and put it out there to my friends, I would not have taken the effort in that direction to face my fear and address my first set of audience 3 years back, to make my dream a reality.

Start with an End Goal in Mind:

Now I do want to add that I am one of those who like to be focused, like to think ahead, to dream. And I am a great fan of New Year’s resolution and  always spent a couple of hours putting it all together into tangible workable action steps.

Did my dream freak me out?

 Yes, totally. I was stressed and thought of backing out many times over. But the support I received from my family and friends made me persevere, work hard and reach my goal. I get goosebumps every time I think about this resolution. What also helped was accepting that it is ok to not be perfect, it is ok to fail and to be prepared to learn from it. I also used the word ‘excited’ instead of ‘nervous’ whenever I visualized myself on that stage in front of the audience.

 The Power of Visualizing:

Such is the power of dream and of visualizing the dream in your head over and over again till one day it becomes a reality. It helps you build the confidence in yourself which in-turn preps you to excel in your goals and whatever you want to succeed in. And the success and growth chart may not be linear. Perhaps that is the best part that makes is exciting and each day a new day, as you get to learn from your failure. It helps you introspect, come up with creative solutions, and even fine tune your goals and resolutions in the process. It offer an opportunity to grow in a holistic manner and ace your professional and personal life.

 What are the Pitfalls to Look out for?

What are your goals for this year? What are your resolutions? What makes them achievable? What are the pitfalls you need to be aware of? While New Year’s resolution has a cliched note to it, I look at it as that time of the year to take stock of your life, like an annual appraisal review one is so used to in office. To look at things that worked, at things that need tinkering and to rework and prioritize and plan your time to make life happen for you. Often the real life takes charge of us and we get involved in the small day-to-day often mundane things which really needs to be taken care of, and forget to step back and take the time off every once in a while, and look at a bigger picture which is equally important and goes a long way in achieving your dreams and goals in life.

 In Conclusion:

In my experience, this stepping back and doing an audit is a time well spent, though it might look as a lot to invest in the beginning. Remember it is just a couple of hours you take away from your routine and use it to think about what you want to achieve, your goals for this year  2021 and focus on the action plan while keeping the goals flexible so you can finetune to make it practical and achievable. Finally this is what will get you to a path of success, to achieve your dream, to achieve your goals and to ace your professional and personal life.

My 2020 Journey.

I started writing these 52 blogs starting from Jan 2020. It is a takeoff from my book : The Game of Change; My Zen steps to Success, Balance and Happiness. I blogged on the topics from the 12 chapters, touching upon being a hero of your life, adapting to changes despite your age, unlocking your inner potentials to success while understanding and using emotions to your benefit, balancing the need to be the confident winner, while evoking your thinking feeling self, thus giving a holistic approach to life, be it personal, family or professional life. In short finding your happiness and success. 2020 has been the year of COVID and introspecting on the tenets of my change management book has been an awesome learning journey, one that helped me reinforce my beliefs and values and allowed me to be strong, grounded and confident in facing the sharp downward turns of this year, helping me relook at some assumptions, especially the ones that were challenged and did not work. Work from home offered me a great learning opportunity. It was amazing to note how much one can accomplish sitting in one place, and accomplish a whole lot of work. It also gave the flexibility for quality family time, and a lot of ‘me’ time. While work days and weekends could blur their boundaries, I learnt to purposefully disassociate and respect time. I also got to upgrade some of my skills and invest time in hobbies I had somehow let go by the way. It allowed me to audit my time, my goals, my effort and with a lot of excitement and high energy, I have set my 2021 goals and expectations with an action plan and measurable scales to monitor the outcome. I look forward to 2021 with a healthy, flexible, open and learning mid-set, ready to flow with the changes of life. Ontological Coaching

As we come to the end of this year 2020, an unusual year, filled with challenges and opportunities, being open, flexible and curious are the survival points. Many speak of getting back to normal. What is normal? Going back to the stressed life, chasing money with the story that we need money to survive, pay our bills, for the house, the car , the basic luxuries we need and this list is never ending. And so is the search of happiness and peace and even success for that matter…never ending. What remains is stress, anxiety, health issues, mental illness. Is this the normal we want to go to? Maybe this is the new normal. What can you do to adapt, adapt while making peace with the situation, and adapt in such a way that you taste success, and enjoy the process? What will make you not be resentful of this situation or any situation for that matter? What will allow you to let-go easily? What will help you to calibrate your expectation to reality and yet succeed in life? What do you want from life? Success? How do you define success and what are you willing to compromise in that path? What are your morals and values that will act as your base, as you build your life? How do you become and stay healthy, physically and mentally? How do you manage to find time for family and self, when work pressure is so high, leaving you drained of time and health? 

           Ontological coaching helps address all such questions and more to unleash success, and be happy in all areas of your life. It is a way of life coaching that helps you introspect. We are all slaves of habits and do things by default without even a thought attached to it. Ontological coaching helps you take a step back, to make you a better observer, to understand what is not working and what you want to change. Being an observer is the first big step. With the use of your body, your language and your emotion, you can change to create new useful habits, to recalibrate your focus, and to be able to relish and enjoy the success in life, in whatever you want to achieve.
